Coachpliance (“Coachpliance,” “Company,” “we,” “us,” or “our”) is committed to protecting privacy and handling information in accordance with applicable law. This Privacy Policy describes how we collect, use, disclose, process, retain, and safeguard information in connection with our software platform and related services (collectively, the “Platform”).

This Privacy Policy applies to information processed on behalf of our customers, including school districts and educational institutions (“Customers”), as well as information collected directly through our website and support channels.

2. Information We Collect

A. Customer Data

We collect and process information submitted to the Platform by or on behalf of Customers (“Customer Data”), which may include:

• Names, email addresses, and phone numbers

• School or district affiliation information

• Coaching certification status, expiration dates, and compliance records

• Account credentials and user role information

• Communications sent through the Platform

Customer Data is provided to us by the Customer and remains under the control of the Customer.

B. Automatically Collected Information

When users access the Platform or website, we may automatically collect:

• IP address and device information

• Browser type and operating system

• Usage and log data

• Access times and referring URLs

C. Support Communications

If you contact us, we may collect your name, contact details, and the content of your communication.

3. How We Use Information

We use information for legitimate business purposes, including to:

• Provide, operate, maintain, and improve the Platform

• Generate compliance reports and automated notifications

• Provide customer support

• Process billing and subscription management

• Monitor and enhance security

• Detect, prevent, and investigate fraud or misuse

• Comply with legal obligations

• Enforce contractual agreements

We do not sell Customer Data.

4. Data Ownership and Role

As between Coachpliance and the Customer:

• The Customer retains ownership of all Customer Data.

• Coachpliance acts as a service provider or processor, handling Customer Data solely for the purpose of providing the Platform and in accordance with contractual obligations.

5. Disclosure of Information

We may disclose information:

• To trusted service providers (e.g., hosting providers, email services, payment processors) under contractual confidentiality obligations

• When required by law, subpoena, court order, or legal process

• To protect rights, safety, and security

• In connection with a merger, acquisition, or asset sale

• As directed by the Customer

6. Data Security

We implement commercially reasonable administrative, technical, and physical safeguards designed to protect information from unauthorized access, disclosure, alteration, or destruction. However, no system can be guaranteed completely secure.

7. Data Retention

Customer Data is retained for the duration of an active subscription and for up to thirty (30) days following termination to allow for data export, unless otherwise required by law or written agreement.

We may retain limited information as necessary to comply with legal obligations, resolve disputes, or enforce agreements.

8. Data Breach Notification

In the event of a confirmed security incident affecting Customer Data, Coachpliance will notify the affected Customer without unreasonable delay and provide reasonable cooperation necessary to meet applicable legal obligations.

9. Children’s Privacy

The Platform is intended for use by educational institutions and administrators. It is not directed to children under 13, and we do not knowingly collect personal information directly from children under 13.

10. User Rights

Customers control the Customer Data within the Platform. End users seeking access, correction, or deletion of information should contact their organization’s administrator.

Individuals may contact us directly regarding personal information we maintain, subject to applicable legal limitations.

11. Changes to This Policy

We may update this Privacy Policy from time to time. The Effective Date reflects the most recent revision. Continued use of the Platform constitutes acceptance of the updated policy.
